Lost receipts cost real money. Every receipt you can't produce is GST you can't claim back and an expense that's harder to defend if CRA asks. Receipt capture automation gets receipts out of wallets, glove boxes and inboxes and into your books the day they're created, with the details CRA expects. Here's how it works, what's allowed, and how to set it up without making your crew hate you.
Can you throw away paper receipts?
Generally, yes, if you digitize them properly. CRA accepts electronic copies of paper records when they're produced through a reliable imaging process and the image is a complete, legible copy of the original. Its guidance on electronic records (Information Circular IC05-1) points to Canadian imaging standards. In plain terms: every detail on the original must be readable on the copy, including the supplier name, date, amounts, GST and GST number.
A few practical points:
- Keep records for six years from the end of the year they relate to. Digital copies need to be retrievable for that long, so back them up.
- Scan thermal receipts fast. The shiny paper from gas stations, hardware stores and restaurants fades, sometimes within months. A sharp photo taken the same day can outlast the original.
- Check with your accountant before shredding anything for a year that's under review or audit.
What a receipt needs to show for GST credits
If you're registered for GST, receipts are what support your input tax credits. CRA's requirements depend on the purchase amount (including tax):

That's why a credit card statement isn't a substitute for a receipt: it doesn't show the supplier's GST number. How receipt capture automation works
Every modern receipt system follows the same four steps:
- Capture. Snap a photo with a phone app, forward an email receipt to a special address, or drop PDFs into a folder.
- Extract. Software reads the receipt (OCR, often with AI now) and pulls out the vendor, date, total, GST and sometimes the card used.
- Match. The receipt is matched to the transaction in your bank or credit card feed, so the expense isn't recorded twice.
- Post and file. The expense is categorized, GST is split out, and the image is attached to the transaction in your books for the long haul.
The capture step is the only one that needs a person. Everything after it can be mostly automatic, with someone reviewing the matches weekly.

Built into your accounting software
QuickBooks Online includes receipt capture: upload on the web, snap with the mobile app, or forward receipts to your company's dedicated email address. It reads the key details and suggests a match in your bank feed. Xero offers similar capture through its own tools. For many small businesses, this is enough. Dedicated receipt apps
Standalone tools focus on extraction accuracy, line items, multiple users and supplier rules, and they publish to your accounting software. They're worth a look if you have several people submitting receipts or lots of supplier invoices, and they usually charge a monthly fee.
Custom capture
Custom makes sense when your receipts need context that generic apps don't capture. For example: which job or client a materials receipt belongs to, which truck a fuel receipt is for, or splitting a single Costco run across three cost centres. A simple custom tool can let a crew member snap a receipt, pick the job from a list and be done, while the office sees everything coded and matched.

A receipt routine that actually sticks
- Snap at the till. Photo before you leave the counter. Make it a rule, like seatbelts.
- Write on it if needed. For anything ambiguous, add a short note in the app: job name, who you took to lunch and why.
- Forward online receipts automatically. Email rules do this for you.
- Review weekly. Fifteen minutes on Friday to approve matches and fix anything the software got wrong.
- Chase gaps monthly. Look for bank transactions with no receipt attached and track them down while they're fresh. Most suppliers can reprint a receipt or send an invoice copy.
- Back up. Make sure your receipt images live somewhere you'll still be able to access in six years, even if you switch software.
Common mistakes
- Blurry or cropped photos. If the GST number is cut off, the copy may not support the credit. Flat surface, good light, whole receipt in frame.
- Personal and business on one card. Automation can't guess which purchases were personal. Use a separate business card wherever possible.
- Matching twice. Creating a new expense from a receipt and also accepting the bank feed transaction doubles the expense. Always match instead of adding.
- Letting it pile up. Three months of receipts at once is where the errors happen. Weekly beats quarterly.
