If you or your bookkeeper are still categorizing every bank transaction by hand, typing the same monthly invoice twelve times a year and digging through email for receipts at year-end, you're doing work that QuickBooks Online automation can handle. 1. Bank feeds and bank rules
Connect every business bank account and credit card. Then build bank rules for anything that repeats. A rule says, in effect, "when a transaction description contains ENMAX, categorize it as Utilities with GST." You can set rules to suggest a category for your review or to add the transaction automatically.
Practical tips:
- Start with your top 20 most frequent vendors. That usually covers a big share of your transactions.
- Use "suggest" mode until you trust a rule, then switch it to auto-add.
- Set the tax code on each rule. In Alberta that's usually 5% GST on taxable purchases, and no GST on things like bank fees, insurance premiums and most payroll items.
- Be careful with vendors that sell different things. A rule that codes every Costco purchase as office supplies will be wrong as often as it's right.
2. Recurring transactions
Anything that repeats on a schedule should be a recurring template. QuickBooks offers three types:
- Scheduled: created (and, for many types, sent) automatically on the date you pick.
- Reminder: QuickBooks reminds you to review and send it. Good for invoices that change slightly each month.
- Unscheduled: a saved template you use whenever you need it.

4. Receipt capture
QuickBooks Online includes receipt capture. You can upload receipts on the web, snap them with the mobile app, or forward them to a dedicated email address for your company file. 5. GST: set it up once, correctly
Alberta businesses charge 5% GST and no PST, so the setup is simpler than in HST provinces. But a few things matter:
- Enter your GST number and your filing frequency (annual, quarterly or monthly) so the return periods line up with what CRA assigned you.
- Make sure every product, service and bank rule has the right tax code. Most GST mistakes in QuickBooks come from a default code nobody checked.

QuickBooks is an accounting system. It's very good at recording what happened. It's not built to run the operational side of your business, and that's where the manual work usually creeps back in:
